Navigation, Details and Sharing
Calendar Navigation
The following list describes the buttons and icons in the workload navigation bar from left to right:
- Add persons: Either create a team manually and add individual resources to it, or add a division that you have defined in Account Settings under Organization > Divisions.
- Today: In the calendar view, you can always jump back to today's date.
- Left/right arrows: Use the arrows to navigate to the past (left) or future (right) in the selected time period.
- Magnifying glasses plus/minus: You can enlarge or reduce the display of the selected time period, e.g. to zoom in from the calendar week to the day view.
- Select time period: Adjust the time horizon of the calendar to suit your needs and increase or decrease the time span displayed. You can choose from predefined time spans or set an individual range in the calendar.
- Folder/detail symbols: You can use these symbols to show more or less detail in the workload display.
- Show percentage: If you select the relative display in percent, the utilization will be shown as a percentage of capacity.
- Show hours: If you select the display in hours, absolute values will be shown. In addition, three additional purple buttons will be displayed with this selection, which you can use either individually or in combination:
- Allocation — allocated/planned effort in hours
- Capacity — general maximum capacity in working hours
- Availability — how many working hours are still available (= capacity - allocation)
- Collapse/Expand levels: With the central level selection, you can change the view by clicking on Teams & Divisions, Persons, Projects, or Tasks & Events. This allows you to switch to the desired level of detail for all resources at once, which is particularly helpful for larger resource planning tasks.
- Project status: Select whether only projects with certain status values (e.g. in progress, planned, started etc.) should be taken into account (multiple selection possible).
- Outlook appointments: You can use the slider to include or exclude people's Outlook appointments in the workload calculation.
- Project requests: You can use the slider to include or exclude project proposals that have not yet been released.
- Search: You can search for teams and people using the search field.
View Task Details
You can call up the task details in the workload and display the details of the workload calculation in the calendar by mouse-over.
Call Up Task Details
- Select a task.
- Double-click it or right-click it and click Open Details.
- The task window opens.
You can only do this if you have at least read permission for the project the task is in.
If you don't see a task name, but only the word Allocated, then you will get a notice that the record may have been deleted, or you don't have access to the project.
View Calculation Details
- Hover your mouse over a period highlighted in green or red.
- The tooltip will show the following information:
- Date
- Number of assigned hours of working time, e.g. 6.5 hours out of 8 hours
- Tasks incl. hours that were used for the calculation of the allocation (displayed only if you have at least read rights for the project)
Share Workload Views
You can share individual workload views with users in your InLoox account. Only users with read or editing permissions for the workload are able to see them.
After you have created a workload view with resources, teams or divisions, click on the three-dot menu next to the view's name and click on Share view.
Other users in your account are now able to see this view in their workload overview.
Shared views are locked for editing. They can only be edited by the person who shared them. If you hover over the shared view's name, the name of the person who shared it is displayed. Equally, only the person who made a view public can make it private again. Simply click on the three-dot menu next to the shared view's name and click on Make view private.
