Practical Examples of the List View
Time Tracking Entries Grouped by Project
As a project manager, you may want to see how much effort has been posted to your projects:
- Click Time in the left menu to open the global time tracking list.
- Click the three dots in the upper-right corner and enable the Advanced Mode toggle.
- Click the three dots again and select Choose Columns. Drag the following columns into the list: Name, Creation date, Duration, Is Billable, and Is Billed. Close the column selection.
- Drag the Project Name column header into the grouping area above the table.
- If projects have multiple team members, additionally drag the Performed By column into the grouping area.
- To save this view, click the three dots and select Save as New View. Enter a name (e.g., "Time entries by project") and click Save.
This lets you see booked effort along with which entries are billable and which have already been billed.

Tracking Freelance Employees
If you provide external freelancers with an InLoox license to track their effort:
- Click Time in the left menu to open the global time tracking list.
- Click the three dots in the upper-right corner and enable the Advanced Mode toggle.
- Drag the Performed By column header into the grouping area above the table.
- Click the filter icon next to the Performed By column and select the freelancer from the dropdown.
- Additionally drag the Project Name column into the grouping area to see all entries grouped by project.
- To save this view, click the three dots and select Save as New View. Enter a name (e.g., "Freelancer time entries") and click Save.
Required Permissions
For an external employee to post effort to their assigned tasks, they need at minimum:
- Read Projects
- Read Tasks
- Edit Time Tracking
This allows the freelancer to create time entries and link them to project tasks or planning elements. They cannot edit other employees' entries.
To allow editing of their own entries after initial creation, also grant the Edit own time tracking permission.
