Automation

Beta feature

Automation is currently in beta. Beta features are subject to change, including changes to existing data, are not yet fully supported, and may still contain errors.

Automation (also called automation rules or no-code rules) lets you set up rules that react automatically to changes in InLoox — without writing any code. Whenever something happens in your account, InLoox can check a set of conditions and then carry out one or more actions on your behalf.

Every rule follows the same simple pattern:

When an event occurs or you start it manually → if the conditions are met (optional) → then run one or more actions.

The trigger (event-based or manual) is what starts a rule. For example: When a task is set to done, if the task belongs to the "Release" project, then send an email to the project manager.

Where you can use Automation

Automation is available for the following areas. Each area comes with its own triggers, condition fields, and actions:

  • Tasks
  • Projects
  • Budgets
  • Documents
  • Time entries
  • Planning
  • Line items
  • Risks — Only available in the InLoox Enterprise Plus Edition and InLoox Self-Hosted. See Risk.
  • People
  • Organizations
  • Reports — For generating and sending reports on a recurring schedule (for example, a weekly status report every Monday morning). See Report automation.
Availability

Automation is included in all InLoox editions.

note

To protect system stability, a rate limit applies to automated executions (currently up to 20 per minute per user). Rules that would exceed it are deferred.

Recommendation

If you are new to Automation, follow the Creating a rule guide. It walks you through building your first rule step by step in just a few minutes.
